Free Usage Policy
Jhapu Free has no fixed subscription-expiry date while the workspace remains actively used and follows this policy. To keep the free service sustainable, storage and inactivity limits apply.
1. Scope
This policy applies only to a Jhapu workspace provided under the Free plan. Paid subscriptions are not archived under this Free-plan inactivity process. Paid-plan access, billing and expiry are governed by the applicable subscription terms.
2. What the Free plan includes
Free users receive the features and limits displayed on the pricing, registration and in-product pages at the time of use. The live tenant database limit is 250 MB. Free users may use the Module Builder, Form Designer and Print Designer to generate up to five custom modules. Generating another custom module after reaching that limit requires a paid-plan upgrade. Some capabilities—including advanced automation, integrations, compliance automation or other commercial features—may show an option to upgrade instead of being available on the Free plan.
AI credits are separate from a Jhapu subscription. Buying or using AI credits does not convert a Free workspace to a paid subscription and does not qualify an archived workspace for restoration.
3. Responsible and acceptable use
You must use the Free plan for lawful business, evaluation or learning purposes. You must not:
- use Jhapu to send spam, unlawful messages or communications without required consent;
- upload malware, harmful code or content that infringes another person's rights;
- probe, bypass or interfere with security, quotas, tenant isolation or availability;
- share access in a way that defeats account controls or impersonates another person; or
- resell or commercially provide the Free workspace as your own hosted service.
You are responsible for the accuracy and legality of your content, your user accounts and permissions, and keeping administrator credentials secure.
4. What counts as activity
Activity means a successful, human-initiated use of the Jhapu ERP by an authorised user, such as signing in and using a business function. Automated jobs, keep-alive requests, system-generated messages, failed logins and unattended background traffic do not reset the inactivity period.
5. Inactivity notices
After 20 complete consecutive days without qualifying activity, Jhapu may notify the registered tenant administrator by email and/or an in-product message. It is the customer's responsibility to keep the administrator email current and to review service notices.
Signing in and completing qualifying activity before the 30-day point resets the inactivity period. Merely receiving a notice or opening an email does not.
6. Archive after 30 inactive days
After 30 complete consecutive days without qualifying activity, Jhapu may:
- place the Free workspace into an archived state;
- create an encrypted logical archive of the tenant database;
- validate the archive and its integrity information;
- store the archive in protected object storage; and
- remove the live tenant database to release shared infrastructure capacity.
An archived workspace cannot be used until restoration is completed. The archive process may occur later than day 30 because of operational or technical scheduling, but that delay does not create a right to continued live access.
7. Restoring an archived workspace
Restoration requires the verified customer to purchase an eligible paid Jhapu subscription. Identity, tenant ownership and payment must be verified before restoration is queued. Access returns only after the archive has been restored successfully and the paid workspace is active.
A purchase of AI credits alone does not satisfy this requirement. If an archive cannot be restored because it is corrupt, incomplete or unavailable, Jhapu will investigate and apply the applicable payment or service remedy rather than treating the workspace as successfully activated.
8. Storage limits
Jhapu may warn administrators as a Free workspace approaches its database or other published storage limit. Once a limit is reached, new records, uploads or other write operations may be restricted until usage is reduced or the workspace is upgraded. Existing reports and permitted read access may remain available where technically and safely possible.
9. Availability and support
The Free plan is provided without a guaranteed service level, response time, uninterrupted availability or feature-continuity commitment. Maintenance, security work and capacity management may temporarily affect access. Support channels and response priority may differ from paid plans.
10. Suspension, deletion and policy changes
Jhapu may suspend or restrict a Free workspace to protect security, prevent abuse, comply with law or investigate a material policy breach. Where practical and lawful, we will provide notice and an opportunity to resolve the issue.
A verified customer may request deletion of its account and archived data, subject to records we must retain by law. Jhapu may update Free-plan limits or this policy to keep the service secure and sustainable. We will give reasonable notice of a material adverse change through the website, email or an in-product announcement.
11. Privacy and other terms
Our Privacy Policy explains how account, tenant and archived data is handled. The Terms and Conditions also apply. If those terms conflict with this page on a matter specific to the Free plan, this Free Usage Policy controls for that matter.
12. Questions
Questions about this policy may be sent to privacy@jhapu.com.
